Overview
SMVUE uses artificial intelligence to help sales managers coach more effectively. Our AI features analyze your existing data — meeting notes, rep profiles, performance metrics — to surface actionable insights that save you preparation time and improve coaching conversations.
This page explains how AI works within our platform, what data is involved, and what you should know as a user.
How AI Is Used
Our AI features are designed to augment your judgment, not replace it. Here is how AI is used across the platform:
Daily Briefs
Each morning, AI generates a summary of your team's activity, priorities, and items needing your attention. The Daily Brief includes a Focus Queue highlighting reps who need coaching attention and a summary of today's scheduled 1:1 meetings.
Meeting Prep
Before a 1:1 with a rep, AI generates a comprehensive Game Plan including recent activity, open deals, development areas, suggested talking points, and a Smart Agenda. This helps you walk into every meeting prepared in minutes instead of hours.
Sales Coach
A conversational AI coaching assistant available on every page. You can ask the Sales Coach questions about your team, deals, performance, or coaching strategies and receive contextual responses grounded in your actual data. Conversation history is persisted across sessions.
Coaching Insights
AI analyzes patterns across your rep interactions — meeting frequency, development progress, deal momentum — and highlights areas that may need attention.
Skill Assessments
When you assess a rep's skills, AI generates coaching recommendations and development suggestions based on the assessment results, the rep's profile, and performance context.
Deal Loss Retrospectives
When a deal is closed-lost, AI generates a coaching agenda with a timeline of the deal, key signals that were present, and coaching questions to guide a retrospective conversation with the rep.
Performance Analysis
AI reviews rep performance data and quota attainment to identify trends, flag risks, and suggest development focus areas.
Data Handling
What Data Is Processed
To generate insights, the following data may be sent to our AI providers:
- Meeting notes and coaching session summaries
- Rep profile information (development areas, strengths, role details)
- Performance metrics and quota data
- Deal information relevant to coaching context
Our AI Providers
- Anthropic (Claude) — our primary AI provider, used for all coaching insights, meeting prep, Daily Briefs, Sales Coach, skill assessments, and deal retrospectives. Requests are routed through LiteLLM, an open-source abstraction layer that runs within our own infrastructure and does not send data to any additional third parties.
- OpenAI — used for generating semantic search embeddings (mathematical representations of text used for search). Embedding models do not generate human-readable content.
How Your Data Is Protected
- No model training: Your data is not used to train AI models. Neither Anthropic nor OpenAI use API inputs for training purposes.
- Data minimization: We send only the data necessary to generate the specific insight or recommendation.
- Encryption in transit: All data sent to our AI providers is encrypted using TLS.
- Limited data retention by providers: Our AI providers (Anthropic and OpenAI) may retain API data for up to 30 days for trust and safety monitoring purposes, after which it is automatically deleted. This retained data is used solely for abuse detection and safety compliance — it is never used for model training or any other purpose. Both providers' data handling practices are governed by their respective API terms of service.
For details on our providers' data handling practices, see Anthropic's Privacy Policy and OpenAI's Privacy Policy.
Limitations and Accuracy
AI-generated content is a tool to assist your work. It has important limitations:
- AI can be wrong. Suggestions may contain errors, misinterpretations, or incomplete analysis. Always verify AI output against your own knowledge.
- AI is not professional advice. AI-generated coaching suggestions are informational and should not be treated as HR, legal, or professional guidance.
- AI does not replace judgment. Coaching decisions — especially those affecting employment, compensation, or career development — should be made by you, not by AI.
- AI reflects its inputs. The quality of AI output depends on the quality and completeness of the underlying data.
Human Oversight
All AI-generated content in SMVUE requires human review:
- AI suggestions are clearly labeled as AI-generated throughout the platform
- No AI output is automatically sent to reps or applied to records without your review
- You are responsible for validating, editing, or discarding AI suggestions before acting on them
- AI features are decision-support tools — the final decision always rests with you
AI Security
We employ multiple layers of protection to ensure AI features operate safely:
- Prompt injection defense — a 5-layer defense system prevents malicious content from manipulating AI responses or extracting data
- Output validation — AI responses are validated against expected formats and checked for hallucinated data, inappropriate content, and PII leakage
- Context isolation — each organization's data is architecturally isolated in AI prompts; one organization's data can never appear in another's AI responses
- PII protection — shared guardrails across all AI features prevent the AI from generating or exposing personally identifiable information
- Token budget management — conversation history and context are managed within token budgets to prevent data accumulation
Content Ownership
- Your content remains yours. Meeting notes, rep profiles, and all data you enter into SMVUE belong to you.
- AI output is a suggestion. AI-generated content (briefs, insights, recommendations) is produced as a tool output, not as SMVUE's opinion or endorsement.
- Treat AI output as a starting point. We encourage you to review, edit, and adapt AI suggestions to fit your coaching style and knowledge of your team.
Opting Out
AI features in SMVUE are optional. You can use the platform without relying on AI-generated content:
- Meeting prep briefs can be skipped or ignored
- Coaching insights are surfaced as suggestions, never required
- No core functionality depends on accepting AI recommendations
